Job Description

Position: Travel Desk Manager (Visa)

The Travel Desk Manager will oversee and support clients regarding visa documentation and all aspects of travel arrangements. This includes ensuring smooth and efficient travel coordination from start to finish, addressing client inquiries, and maintaining a high level of service and compliance with policies and procedures.


Key Responsibilities

  • Visa Documentation Support: Assist clients with visa documents, ensuring they meet the necessary requirements.
  • Travel Coordination: Manage and track all travel activities, from start to finish, for clients.
  • Visa Classification: Assess and determine the appropriate visa category based on the client’s profile.
  • Client Relationship: Build and maintain strong relationships with clients, addressing inquiries professionally.
  • Visa Status Records: Maintain up-to-date records of visa statuses and ensure proper documentation is in place.
  • Client Inquiry Resolution: Resolve client queries both directly and indirectly in a professional manner.
  • Regulation Updates: Stay informed about migration laws and changes to ensure compliance.
  • Process Improvement: Ensure consistent improvement in processes related to visa handling and travel management.
  • Compliance: Ensure adherence to both internal and external policies and procedures.

Travel Management Tasks

  • Travel Arrangements: Coordinate travel arrangements, including flight bookings, accommodations, and transportation for employees.
  • Visa Processing: Handle visa applications, ensuring all documentation is accurate and submitted on time.
  • Travel Schedules: Plan and distribute detailed travel itineraries and necessary travel information to employees.
  • Vendor Communication: Coordinate with travel agencies, airlines, and hotels to secure competitive rates and ensure quality service.
  • Policy Adherence: Ensure all travel arrangements comply with the company’s travel policies and budgetary restrictions.
  • Crisis Management: Address any travel-related issues or emergencies promptly and efficiently.
  • Cost Reporting: Track and report travel expenses, ensuring alignment with company policies.
  • Industry Trends: Stay updated on travel industry trends, regulations, and best practices.

Qualifications

  • Education: Bachelor’s degree in Hospitality, Travel Management, Business Administration, or a related field.
  • Experience: Minimum of 2 years in visa processing and corporate travel management.

Skills Required

  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in travel booking systems and software.
